The successful candidate will be an outgoing and enthusiastic individual who will lead and deliver on all aspects of building functions while managing a high quality facilities team. You will support the delivery of our strategic aspirations in compliance with relevant legislation, including leading on statutory reporting requirements for carbon management, and health and safety.
Our main office is Thistle House, Haymarket Terrace, Edinburgh, EH12 5HE. The building is managed by SLAB, with a long term lease from Scottish Government. Thistle House has a net internal area (NIA) of 4,850m2. There are 10 tenants based in Thistle House, in addition to SLAB, and the postholder will be the key liaison with all tenants.
We operate Client Legal Services from several remote offices located in Aberdeen, Ayr, Dundee, Edinburgh, Falkirk, Glasgow, Inverness and Kirkwall. The postholder will be key liaison with all landlords and will be required to visit the offices on a regular basis.
Key responsibilities:
- Lead, deliver and develop a comprehensive facilities, health and safety, and shared services team, ensuring objectives are aligned with our corporate plan and met
- Lead and develop relationships with Thistle House tenants, ensuring appropriate legal agreements and cost recharge are in place
- Liaise with SLAB operational teams and tenants to understand their shared services needs
- Lead the health and safety service, ensuring SLAB premises and premises leased by SLAB meet the required standards, in accordance with legislation and contractual agreements
- Liaise internally and externally, coordinate moves to remote offices, advise on space planning, contracts and relevant best practice
- Plan, organise and control building works on SLAB premises, including management of external contracts, in line with legislation and industry best practice
- Ensure appropriate rotas, with policies and procedures in place for shared services and building security
- Manage facilities related risk and business continuity, including the management of key holding responsibility for Thistle House
- Responsible for Asset Management Plan
- Responsible for ensuring compliance testing and maintenance programme is in place
- Responsible for the development and monitoring of SLAB’s Carbon Management and Biodiversity Plans, including ensuring appropriate mechanisms are in place to report
- Responsible for the facilities management budget, including arranging procurement of facilities based services and utilities, and managing relevant contracts to ensure buildings are maintained to requirements
- Responsible for ensuring appropriate pool car provision is managed effectively
- Contribute to corporate projects, as required.
